Our goal is to get to know your specific projects and outline a plan identify vendors that align with your projects, determine proposed budget vs. actual budget, complete any initial paperwork to accept the grant, and begin outlining next steps for the EHP. 

After the initial call, we ask clients to choose their preferred regular meeting schedule: either a 60-minute call every two weeks or a 30-minute call every week. In addition, after each phase of the Grant Management process we provide the client with a detailed summary of the work that was completed during that phase. 

Once in contact with the grant representative, we clarify the necessary paperwork and processes for EHP Submission, the reimbursement process, and any procurement requirements. This clarification might occur via webinar or discussions directly with the grant rep. Depending on the Grant the criteria and process can vary from State to state even if it is a Federal Grant. 

We maintain consistent communication using the client's preferred schedule for ongoing updates, addressing concerns, and keeping clients informed throughout the process. In addition, we keep them informed of each step of the process. While EMD does most of the work it is important that we have a primary point of contact that is responsive and can provide the materials we need to execute the grant project. We look at from an 80/20 approach we will do 80% of the work but client participation is critical in meeting goals and deadlines. 

This involves preparing and submitting EHP documentation, managing the approval process. We will follow guidelines outlines by the grant to procure the necessary quotes and provide a clear plan. Once the EHP is submitted it can take anywhere from 30 to 60 days for approval, again this is dependent on the state and their process. During that time we will work to finalize project details and align on vendors. So you are ready to begin work on your projects. 

Once work has begun we can begin the reimbursement process, again each state follows a different process. Some follow a quarterly calendar and reimbursements are processed at the end of each quarter, while others allow you to submit as you are ready. Typically once the reimbursement is approved it can take 30 - 45 business days for organizations to receive their reimbursement. 

Typically the process can take as little as 12-18 months, however you typically have 36 months to complete your projects. However, in working with EMD our goal is to shorten that window to ensure efficiency and success.
